Description:  Records pertinent to an institution or family day care home that is declared seriously deficient

Retention:  3 Years after the Corrective Action is accepted


0469-02-004 | Child and Adult Food Program Disqualification Files (“CACFP”)

Description:  Records pertinent to the disqualification and subsequent placement on the National Disqualified List ("NDL") of any responsible party

Retention:  Retain the entire period than an individual or institution remains on the NDL

Description:  Records are created through the administration of the Child Care Services program. Records include documents to substantiate compliance with rules and regulations that govern the program.

Retention:  3 years after the end of the fiscal year in which the facility closed

Description:  Records created to administer Georgia's subsidized child care program, Childcare and Parent Services.

Retention:  3 years after the end of the calendar year

Retention:  6 years after the end of the fiscal year in which the records were created

Description:  Records created to administer Georgia's technical assistance and professional develop program, Georgia Program for Infant and Toddler Care.

Retention:  3 years after the end of the calendar year

Description:  Records documenting the application for federal grant funding and the administration of funds through grant programs

Retention:  3 years

Description:  Records created to document the application of entities to DECAL for federal funds (Request for Proposals, applications, selections and awards documentation) and records created to document the administration of the contracts and grants. Grants and contracts funded by the Child Care and Development fund include Child Care Resource and Referral services, Professional Development System, and scholarships and incentives programs.

Retention:  3 years after the end of the calendar year

Description:  Records created to administer Georgia's tiered quality rating and improvement system, Quality Rated.

Retention:  3 years after the end of the calendar year


0469-02-001 | Summer Food Service Program Administrative Records (“SFSP”)

Description:  Records are created through the administration of the SFSP

Retention:  3 years after the end of the calendar year


0469-02-002 | Summer Food Service Program Audit and Investigation Records (“SFSP”)

Description:  Records pertinent to review, audit or investigative findings have not been resolved (e.g., debt owed)

Retention:  Retain until final disposition of the audit or investigation findings
