Description:  Records and reports relating to assessment and data audit evaluations of a school or Local Education Agency (LEA).

Retention:  5 years after the end of the calendar year.

0413-0004 | Agency Application, Data Documentation for System Development Documents, Reports, or Files

Description:  Records concerning the management of data in the agency's information systems and that explain the meaning, purpose, logical relationships, ownership, use, or origin of data, and records (sometimes known as metadata) concerning the development and/or modification of and the access, retrieval, manipulation, and interpretation of data in an automated system. Records include Data dictionaries, Data Documentation, Issues Logs, Project Plans and Schedules, System Audit Results, FERPA Agreements, Researcher Approval documentation, Data management Committee documents, and External Researcher Applications.

Retention:  2 years after completion of the project or application and after system's or application's data have been destroyed or transferred to another structure or format.

Description:  Summary or aggregate data from a master file or database, including snapshot of data, created solely to distribute data to requesting entity for their reference and use.
